Octane LLC ("the Company," "we," "us," or "our") (Building B12, Smart Village, KM 28 Cairo-Alexandria Road, Giza 12577, Egypt) operates octanetech.org and the Octane fleet fuel intelligence platform. We are committed to handling personal information responsibly and in line with applicable data protection principles. This policy explains what data we collect through the platform, how we use it, and the rights available to you. Contact: [email protected].

Octane's core service processes vehicle telemetry data submitted by fleet operators and their personnel. This includes CAN-bus fuel sensor readings, GPS location frames, OBD-II diagnostic outputs, and associated fleet account information. This data is processed solely to detect fuel-theft anomalies, generate cost forecasts, and produce refill schedules. We do not use vehicle telemetry or fleet operator data to train machine-learning models for purposes outside the contracted service without the explicit written consent of the fleet operator.

1. Who We Are

The Company is Octane LLC, an independently funded fleet fuel intelligence company headquartered at Building B12, Smart Village, KM 28 Cairo-Alexandria Road, Giza 12577, Egypt. We operate octanetech.org and provide a SaaS platform that processes vehicle telematics for commercial fleet operators. For privacy enquiries: [email protected] or +20 2 3535 4400.

2. Information We Collect

We collect and process the following categories of information:

  • Fleet operator account data: company name, contact name, email address, phone number, and billing information provided during account registration.
  • Vehicle telemetry data: fuel level readings from CAN-bus and tank sensors, GPS coordinates and NMEA frames, engine RPM, vehicle speed, ignition state, driver ID channel data, and OBD-II diagnostic outputs transmitted by connected hardware at configurable intervals.
  • Usage and access logs: IP addresses, browser or API client type, pages and API endpoints accessed, timestamps, and session identifiers collected automatically when you interact with the platform dashboard or API.
  • Support communications: content of emails, support tickets, or other messages you send to us.
  • Analytics data: aggregated, anonymised usage metrics collected via first-party analytics to understand feature adoption and platform performance.

We do not knowingly collect personal data from individuals under 18 years of age. The platform is designed for commercial fleet operations; if you believe a minor has provided data, contact us at [email protected].

3. How We Use Information

We use the information described above for the following purposes:

  • Service delivery: to run the anomaly detection pipeline, compute per-vehicle fuel cost forecasts, and generate refill schedules for the fleet operator's account.
  • Alerting: to send real-time push and email notifications when a siphoning event or abnormal consumption pattern is detected on a connected vehicle.
  • Account management: to create and maintain fleet operator accounts, process billing, and respond to support requests.
  • Platform improvement: to diagnose faults, improve detection accuracy, and develop new features, using aggregated or anonymised data where possible.
  • Legal compliance: to meet obligations under applicable law, respond to lawful requests from public authorities, and enforce these policies.

We do not sell personal information to third parties. We do not use vehicle telemetry or fleet personnel data for advertising purposes.

4. Sharing

We share information with:

  • Service providers: cloud infrastructure, email delivery, and analytics vendors acting as data processors under written contracts that restrict their use of data to service provision on our behalf.
  • The fleet operator: telemetry-derived alerts, forecasts, and reports are made available to the fleet operator's authorised dashboard users as part of the contracted service.
  • Public authorities: where required by the laws of Egypt or another jurisdiction with authority over the relevant data, we may disclose information to law enforcement or regulatory bodies.

We do not transfer personal data to recipients outside of the service delivery chain without a lawful basis. Where data is processed by infrastructure providers in other countries, we use contractual safeguards designed to ensure an equivalent level of protection.

5. Retention and Security

Vehicle telemetry data is retained for the period necessary to provide the agreed service, typically for the duration of the fleet operator's active subscription plus a reasonable archive window to support dispute resolution and regulatory enquiries, unless a shorter retention period is requested in writing. Account data is retained for the life of the account and for a period after closure to meet legal obligations.

We apply administrative, technical, and physical safeguards designed to protect the information we hold. These include encrypted transmission of telemetry data, access controls limiting dashboard access to authorised personnel, and regular security reviews. No security measure is absolute; we encourage fleet operators to use strong credentials and notify us promptly of any suspected unauthorised access.

6. Your Rights

Subject to applicable law, you may have rights to access, correct, delete, or restrict the processing of your personal information, and to object to certain processing or withdraw consent where processing is based on consent. Fleet operators may also have rights relating to the telemetry data associated with vehicles and personnel in their account.

To make a request, email [email protected]. We respond within a reasonable period, typically 30 days. We may ask you to verify your identity before acting on a request. We will not discriminate against you for exercising any applicable data rights.

7. Cookies

We use cookies and similar technologies on octanetech.org for site operation, user preference storage, and anonymised usage analytics. See our Cookie Policy for a full description of the categories in use, their lifetimes, and how to manage your preferences.

8. Changes and Contact

We may update this Privacy Policy. Material changes will be reflected by an updated "Last updated" date at the top of this page. We encourage fleet operators to review this policy periodically.
